Responsible for assisting in various HR-related tasks, ensuring smooth operations within the HR department, and supporting the overall employee experience.
Perform complex HR administrative and clerical tasks to handle sensitive employee information and manage internal and external relations.
Recruitment:
- Assist in recruitment for both blue-collar and white-collar positions.
- Process job postings, candidate sourcing, scheduling and doing interviews, and track candidate progress.
Probation performance review:
- Ensure that the Technical Manager conducts an initial meeting with the new employee within the first week of joining to set clear probation objectives. Share the relevant form and confirm that the discussion takes place as scheduled.
- Maintain regular follow-ups with the Line Manager to monitor the new joiner’s performance and take necessary action if performance concerns arise—do not wait until the end of the three-month probation period to address issues.
- Request the completed probation review form between weeks 10 and 11 to determine whether the employee’s probation will be confirmed or not.
Annual appraisal processing:
- Support the processing of annual performance appraisals, ensuring all procedures align with company policy.
- Compile scoring sheets based on completed appraisal forms, along with documentation for promotion recommendations, improvement plans, and suggested training programs by department.
Offboarding:
- Confirm that the exit interview form is completed and submitted to the HR Manager.
- Update all employee exit documentation, including the resignation letter, Form 6, non-disclosure agreements, clearance form, and any other relevant paperwork to ensure compliance with legal and contractual requirements.
- Collect all company property from the departing employee, such as keys, ID badge, medical insurance card, uniform, and PPE (Note: PPE should be returned to the warehouse, while vehicles should be handled by the fleet department).
- Coordinate with the IT department to deactivate the employee’s email, ERP account, access to internal systems, and remove all data access.
- Ensure that the offboarding process provides positive and professional exit experience for the departing employee.
Medical Insurance:
- Oversee all aspects of medical insurance administration, including policy renewals, utilization reports, and comparative analysis.
- Manage insurance claims and reimbursements, process employee additions and removals from coverage, and provide guidance on insurance-related matters and address employee inquiries regarding insurance policies and procedures.
- Prepare monthly reports on outstanding cases and follow up to ensure timely settlement.
General Tasks:
- Assist in processing payroll data, including timesheet entries, to ensure accurate records of attendance, overtime, allowances, leaves, and deductions.
- Provide support with additional assigned tasks as required.
